Terms of service
Last updated 3 September 2026
These terms are the agreement between PromptWorks AI Ltd (“we”), a private limited company registered in England and Wales under company number 17305850, with its registered office at 66 Paul Street, London, England, EC2A 4NA, and the business using DogBoarder (“you”). By creating an account you accept them, together with our data processing agreement, which forms part of these terms.
1. What we provide
DogBoarder is software for running a dog boarding, day care or walking business: bookings, client and dog records, care logging, invoicing, and a statutory register derived from those records. We provide it as a service over the internet, and we will use reasonable skill and care to keep it available and working.
We do not promise uninterrupted availability. We will give you reasonable notice of planned maintenance where we can, and we will tell you honestly when something has gone wrong.
2. It is not legal or veterinary advice
This is the most important clause here. DogBoarder helps you organise records and shows you what appears to be missing against the Animal Welfare (Licensing of Activities Involving Animals) (England) Regulations 2018. It is decision support and nothing more.
It is built for businesses licensed in England. Wales has its own licensing regime, and we have not yet verified our checks or templates against it, so DogBoarder does not yet support businesses licensed in Wales. We will say so plainly when that changes rather than let you assume it.
We do not guarantee any licensing outcome, star rating or inspection result. Your star rating is awarded by your local authority on its own assessment. Templates and generated documents are starting points that you must review and adapt to your own premises and practice — responsibility for what you submit, and for complying with your licence conditions, remains yours. Nothing in the product is veterinary advice.
3. Your account
You are responsible for who you invite into your organisation and what they do. Keep access to your email secure, since that is how sign-in works. Tell us promptly if you think someone has access who should not.
You must be at least 18 and using DogBoarder for a business. One organisation, one subscription — please do not share an account across separate businesses.
4. Your data and your records
Your records remain yours. We claim no ownership of them, and we do not use them for our own purposes or to train machine-learning models. For your clients' personal data you are the controller and we are your processor, acting on your instructions. Our data processing agreement at /legal/dpa forms part of these terms and sets out that relationship in full; the privacy notice explains it in plainer words.
You are responsible for the accuracy of what you record and for having a lawful basis to hold your clients' details. You can download everything your organisation holds — every record, as CSV and JSON in one zip — from Settings at any time, including while your account is read-only. Key-safe codes and access instructions are excluded from every export by design; uploaded files are listed with their fingerprints and remain individually downloadable in the app.
5. Payment
New accounts get 14 days free, with no card required. After that a subscription is payable monthly or annually in advance, at the price shown on our pricing page when you subscribe. Payments are taken by Stripe; we never see your card details. Prices exclude VAT where applicable.
Document generation is included with annual plans only. The inspection pack is available now, and further document generation features are released to annual plans as they are ready — we do not describe a feature as included before it exists. Everything needed to run day to day is included with every plan.
If we change our prices we will give you at least 30 days' notice by email, and the new price applies from your next renewal. Your existing term is never repriced mid-period.
6. Cancelling, and what happens to your records
You can cancel at any time from inside the app. Your subscription runs to the end of the period you have paid for. We do not refund part periods, except where the law requires it or where we have got something badly wrong — in which case ask, and we will be reasonable.
When a subscription ends, we do not delete your records and we do not lock you out of them. Your account becomes read-only: you can still open, print and export everything, including your statutory register. This is deliberate. A licensing officer can arrive on a day when your billing has gone wrong, and that is not a situation we are willing to put you in.
We retain records for at least the three-year statutory minimum. You can ask us to delete your account, and we will, subject to that floor and to the minimum statutory register fields we are required to preserve.
7. Suspension
We may suspend an account that is not paid for, that is being used unlawfully, or that is putting the service or other customers at risk. Except where the risk is immediate, we will tell you first and give you a chance to put it right. Suspension does not mean deletion — clause 6 still applies.
8. Liability
Nothing here limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited.
Subject to that, our total liability to you in any twelve-month period is limited to the amount you paid us in that period. We are not liable for lost profits, lost business, or for a licensing or inspection outcome — see clause 2.
We are not a substitute for your own record-keeping obligations, and you should keep the backups and exports your own risk appetite calls for.
9. Changes to these terms
We may update these terms. If a change materially affects you we will give at least 30 days' notice by email, and you may cancel before it takes effect if you do not agree.
10. Law
These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
